The Problem

In modern organizations, managing physical identity access poses significant challenges, necessitating a streamlined process for requesting access. The existing system lacks efficiency and transparency, leading to delays, security risks, and administrative overhead. Users struggle to navigate the convoluted procedures, hindering productivity and potentially compromising sensitive areas. Thus, there is a pressing need to establish a robust solution that simplifies the access request process while ensuring stringent security measures and swift response times



Understanding The Problem

Building 5W’s (Who, What, When, Where, & Why) questions concerning the problem statement were framed. These questions helped a lot in doing the research.

- Who manages access?  (To find out who is responsible for handling access exactly)
- Who requests access?  (To find out who all can request access)
- Who approves access? (To find out who can approve access requests)
- What kind of access do they request? (To find what all accesses can be request-able)
- When do they need access? (To find out restricted hours for access )
- Where do they need access? (To find out restricted and normal access areas)
- Why do they need access? (To find out the reason for access requirement)



Define Questions for Challenges

Framing How Might We questions to frame challenges:

- How might we help Newly onboarded employees to be able to get the required access and cards on their 1st day?
- How might we help employees easily request access and cards?
- How might we help employees track their access requests?
- How might we help employees track access end dates?
- How might we help employees track who the access approval is pending?
- How might we help employees report cards lost/stolen/damaged?
- How might we help employees inform access request denials?
- How might we help managers/approvers approve/deny access requests?
- How might we help managers manage access to their team?




Prototypes & Visual Design

Created a several prototypes to test the core functionality of the Physical Management System & gathered feedback from potential users. Made several iterations based on the feedback received from potential users to improved the overall user experience.



Usability Testing

Conducted internal usability testing at the end of the stage to ensure that the application was user-friendly & whether the user was able to understand the main purpose of the application.


Conclusion

By designing and implementing a modernized physical access management system, the Corporate, healthcare, banking etc. sector can improve user experience, enhance security measures, and ensure efficient access control processes throughout their office building or site. The iterative approach to design, testing, and feedback enables continuous improvement and adaptation to evolving security needs.
